This article covers the different email templates that are found in “Email Template Configurations” and how they are triggered when conditions are met. Email addresses are added to pop up displays that will displaying a line where the user could add an additional email to send information.
Invoice Email
To trigger the invoice email, you will go to the email setting and then go to the billing tab. Click on the enable checkbox and save to setup the invoice emails trigger. After that is enabled, you can go to an invoice that you created and there will be new a button named “Email” to start the process. After you click on that button, a popup will appear to prompt you to fill out the relevant email addresses.
New Comment Email
Whenever the user is in the comments tab for an Order, the user is able to add “followers” who will receive an email whenever a new comment is added to the Order. Then whenever the user adds a comment, it will send out emails to the “followers”.
Order Published Email
This email will be sent whenever the user publishes an Order to the customer portal from the Order page. Whenever the user publishes the Order, it will prompt the user to either publish the Order by sending emails that are filled in on that popup display, or to publish the Order without sending any emails.
Order Report Published Email
This email will be sent when the user has an Order report published to the customer portal. When the user generates an Order report and then clicks the publish button in the report tab of an Order, it will then prompt the user to send emails to the emails found in the Order or they could manually add those emails. Then it will prompt the user to select whether they want to publish the report without the emails being sent or publish the report and send out emails.
Order Request Conversion Email
For this email to be sent out, you will start by going to Customer Portal settings. This is under Configuration > Application. Then you scroll down until you see Order requests. Click that check box to enable order requests. Then enable conversion from Order to Order request as well. After, when you are on an Order, you will see a button that is named Convert to Request. After clicking that button, a popup that appears and you will fill out the appropriate fields to send out an email.
Order Request Revision Email
For this email to be sent out, an Order request process is enabled. Whenever a customer or a LIMS user makes a revision to the Order request, you can send out another email by clicking the button to publish the edit in the Customer Portal.
Payment Received Email
To setup Payment Received email option, you go to the Email settings and then go to the Billing tab. Then you click on the enable checkbox and save. After that is enabled, you will be able to go to a payment that you created and there will be a new button called “Email” to start the process. After you click on that button, a popup will appear to prompt you to fill out emails addresses.
Quotation Email
To setup the Quotation email option, you will go to Email settings and then the Billing tab. Then you click on the enable checkbox and save. After that is enabled, you will be able to go to a Quotation that you created and there will be a button named “Email” to send out those emails. After you click on that button, a popup will appear to prompt you to fill out emails information.
Sample Report Published Email
This email will be sent when the user has a Sample report published to the Customer Portal. When the user generates a Sample report and then clicks the Publish button in the report tab of a Sample, it will then prompt the user to send emails to the email addresses found in the Order or they could manually add emails. It will prompt the user to select whether they want to publish the report without the emails being sent or publish the report and send out emails.
Test Report Published Email
This email will be sent when the user has a test report published to the customer portal. When the user generates a test report and then clicks the publish button in the report tab of a test, it will then prompt the user to send emails to the emails found in the order or they could manually add those emails. Then it will prompt the user to select whether they want to publish the report without the emails being sent or publish the report and send out emails.
